Floorlayers: survey a resilient flooring job before quoting — 2026 guide

To prepare a resilient flooring quotation, record the net floor area, order quantities, finishing details and preparation constraints separately. A square-metre figure does not describe either the cutting of a roll or the work required on the subfloor. This method helps floorlayers turn a visit into explainable work items, without replacing the product instructions or any necessary technical assessment.

1. Clarify the request before measuring

Ask which rooms are involved, how they are used and what the customer wants to change: appearance, maintenance, comfort, noise or the condition of the floor. Distinguish sheet flooring from tiles or planks, and an adhesive installation from any other proposed method. A customer saying “lino” does not identify a material sufficiently. Record an actual product reference or state clearly that the choice remains open.

Collect available plans, useful photographs, the level of occupancy and the preferred date. Identify who approves the design, thresholds and scope. Will a decorator or joiner also be working there? This first list prepares the visit and helps you bring the right documents. It does not turn the customer’s plan into a verified survey.

2. Draw a plan linking each measurement to an area

Give each room a code and draw its outline, recesses, openings, columns and fixed features. Put dimensions directly on the sketch, with the unit and visit date. For an irregular room, divide the area into simple shapes and check that they fit together without overlaps or gaps. Identify a dimension taken between two obstacles as such; do not treat it as the full room width.

Also measure skirting lengths, thresholds and junctions with other floor finishes. Note doors and observed level differences; trimming a door or fitting a transition profile may be a separate item. Check the dimensions with a second reading. Photographs help you revisit a detail, with the customer’s agreement and without retaining unnecessary private documents; they do not automatically provide a reliable scale.

3. Separate the net area from the supply quantity

The net area is the surface to be covered. The purchased quantity also depends on the product format, usable width, laying direction, pattern matching, cuts and pack size. Draw the sheet layout or arrangement of pieces before deciding on a quantity. A standard waste percentage can conceal a width or pattern problem. Explain why the supply quantity and the installation area are not always the same.

Fictional geometric example: a rectangular room measuring 4.20 m by 3.60 m has an area of 15.12 m². If a product has a usable width of 4 m and the layout allows a 4.30 m sheet length, the supply quantity would be 17.20 m². The 2.08 m² difference results from the format and assumed cut. This is not an installation instruction: the additional 10 cm is an assumption to check against the product, pattern match and actual survey.

4. Document the subfloor without promising what is still concealed

Create three columns: visible, documented and to be confirmed. Record the existing covering, accessible areas, observed defects and available information about the subfloor. Heavy furniture, an existing covering or a closed area limits the visit. State that limitation and the check needed before finally specifying preparation. Do not turn a visual observation into a moisture-test result or a diagnosis.

Forbo’s February 2025 Surestep Fast Fit instructions illustrate the importance of a prepared subfloor and suitable moisture checks. They relate to a particular product; their UK references are not universal rules. For the quotation, include operations actually justified by the selected system and its current documents. If an old material needs identification or specialist intervention, do not assume ordinary removal or sanding is appropriate on the basis of a photograph alone.

5. Itemise preparation, installation and finishing

Create separate lines for the planned removal, disposal, selected preparation, supply, installation and finishing. Describe the areas, quantities and units: square metres, linear metres, items or working time. Levelling proposed without adequate assessment should not become an arbitrary thickness included in a fixed price. Associate unresolved points with a check, an owner and the decision required.

Forbo’s documentation centre distinguishes instructions for different vinyl floors and their accessories. Find the instructions matching the product reference, market and selected system, together with those for the preparation product and any adhesive. Keep their versions in the job file. Instructions for loose laying do not justify an adhesive method, and guidance for one product should not automatically be applied to all resilient flooring.

6. Price the constraints of occupied premises

Define who moves and replaces furniture, what must remain accessible and the permitted working windows. Check access for rolls, deliveries, storage and movement between areas. The same floor area may require very different organisation depending on whether it is empty or divided into occupied rooms. Treat cleaning, suitable protection and coordination with other trades as identifiable tasks.

Separate person-hours from elapsed calendar time. Two people working for three hours represent six person-hours; a waiting period associated with the chosen system does not necessarily mean another six hours of labour. Confirm preparation, laying and return-to-use times in the instructions and against site conditions. Do not promise reopening at a precise time before checking those constraints and product availability.

7. Build a clear price and comparable options

Bring together the actual purchased material cost, labour, procurement and costs attributable to the job, avoiding double-counting anything already included. When comparing two floor coverings, retain the same scope of preparation, finishing and handling. Show product or method differences separately. The cheapest purchase does not necessarily represent the same job or the same intended use.

Explain cutting quantities without describing them as the “floor area of the home”. Distinguish an estimate conditional on another visit from a defined service. Check taxes, required information, agreement conditions and rules on extra work for the country and customer concerned. This guide sets no average price per square metre, tax rate or universal contract term.

8. Review the order and learn from the completed job

Before sharing the quotation, compare each line with the sketch: are all rooms included, are thresholds counted and are exclusions understandable? Check the product and design, width or packaging, supplier and stated lead times. Keep the version sent. If a measurement changes, review the cutting layout and connected items rather than correcting only the total.

After the job, compare the ordered quantity, used quantity, offcuts and actual time by task. Record the reasons for differences: room shape, requested changes, a newly exposed subfloor or access difficulties. Use this information for the next survey. Do not turn one job’s result into an automatic factor for every customer. Also retain the documents and return-to-use instructions actually applicable to the installed floor.

9. Turn the survey into a quotation with Vocalys

Dictate information room by room: code, dimensions, net area, planned supply, preparation, finishes and access constraint. State the unit, decimal point and “to be confirmed” status explicitly where appropriate. Check numbers and references against the sketch. Preparing notes by voice helps structure the information; it does not measure the subfloor or validate the cutting layout.

United States — Adapt the method to the site

The survey and planning method can be used in several countries. Building, safety, contract and tax requirements remain those of the project location and are not defined here.

The cited manufacturer documents are references for a method and a product. Choose the version applicable to your market; no technical threshold, drying time or installation method is generalised to every floor covering.

Fictional example: 4.20 × 3.60 = 15.12 m² net; checked cutting assumption: 4 × 4.30 = 17.20 m² supplied.

The dimensions and additional 10 cm illustrate the calculation; they are not a tolerance or manufacturer’s instruction. · Forbo — Surestep Fast Fit Installation Guidance, February 2025 · Forbo — Project sheet vinyl installation and floorcare

FAQ

Can I quote using only the area supplied by the customer?

It helps start the discussion, but the quotation needs to account for the survey, chosen format, subfloor, finishes and organisation. Identify what still needs checking.

Why order more square metres than the area being laid?

Format, cuts and pattern matching can create a difference. Explain it with a real cutting layout and pack size, rather than an automatic percentage.

Is levelling always included?

It must match the assessed subfloor and selected system. Describe the proposed preparation and outstanding checks without promising a uniform treatment before verification.

How should furniture be allowed for?

Clearly allocate moving and replacing it. Include the necessary protection, access and phases in the quotation and programme.

Does Vocalys check measurements and quantities?

Vocalys helps prepare documents by voice. The floorlayer remains responsible for reviewing them, surveying, technical choices and validating quantities.
