Roofer: how to follow up a roofing quote — 2026 guide with messages and tracking

To follow up a roofing quote, check that it arrived, offer to resolve a specific question and agree the next step. Good follow-up addresses scope, access, materials and timing. No reply does not mean agreement, and sending more messages cannot replace a clear proposal.

1. Prepare the follow-up during the visit

Ask who decides, who will receive the quote and when the customer would like to revisit the project. A local repair, a full reroof and a renovation connected with insulation do not have the same decision cycle. Record why the work is requested, the desired timing and points still open. Help the customer distinguish preferred timing from a technical urgency that only a competent professional can assess.

At the end of the discussion, set out a specific action: send the detailed version and then agree a discussion about covering choices, for example. Record the agreed channel and time. Following up an incoming enquiry must not automatically become a newsletter subscription. Keep only information useful to the project and respect the contact preferences expressed.

2. Send a quote the customer can compare

A customer may hesitate because two offers refer to the same roof but cover different work. Clarify the area and how it was assessed, the zones concerned, the material, removal, protection, access, waste disposal and finishes. Explain the planned treatment of junctions, verges and associated elements where they form part of your assessment. Do not describe an area as inspected if it could not be examined.

Distinguish confirmed substrate repairs, assumptions to check and options. Specify who will supply missing information and how a change will be priced. A readable proposal gives a follow-up a concrete purpose. Before sending, check supplier prices and lead times, team availability and local contract conditions. Do not promise a firm date solely on the assumption of favourable weather.

3. Choose a rhythm suited to the project

Among its commercial advice, the public Business Queensland service suggests getting back in touch seven to fourteen days after a quote. This is a management guideline, not a legal deadline or a universal rule. For your job, prioritise the date agreed with the customer, actual decision deadlines and the time needed to consider the document. An urgent request needs specific arrangements, not a blind sales sequence.

Example internal schedule: when sending, confirm the recipient and suggest a discussion; on the agreed date, answer questions; afterwards, record the next decision or mark the file as waiting. If the customer no longer wishes to be contacted or has chosen another business, stop following up. Avoid simultaneous calls, texts and emails intended to force a reaction.

4. Three messages to adapt, not send in bulk

Receipt: “Hello [name], I sent quote [reference/version] for [roof area]. Have you received it? I can clarify the scope or the two material options. When would suit you for a brief discussion?” The message refers to a genuine project and offers identifiable help. Do not add private data or unnecessary photographs through an unsuitable channel.

After a question: “You were considering [point]. Version [reference] now separates [option A] and [option B], showing their effect on price and timing. Would you like to review the preferred scope together?” Final agreed check-in: “Is your project still going ahead? If I do not hear from you, I will leave it on hold. You can contact me again to check conditions and availability.” Adapt the wording to your relationship and the applicable rules.

5. Understand the objection before offering a discount

If the customer says the price is too high, ask what they are comparing it with: their budget, another quote or an initial estimate. Compare identifiable services without criticising another contractor or asking for their confidential documents. Access, protection, treatment of the substrate or a finish may explain a difference. If the scope is identical and still beyond the budget, consider a technically acceptable option rather than reducing the price without a calculation.

Never remove an essential safety item or an obligation to make the price more attractive. If phasing is possible, have it assessed and explain repeat visits, access and additional interfaces. Present a separate version with its consequences. A price reduction does not guarantee acceptance, and an accepted quote with insufficient margin can disrupt a job as much as a lost enquiry.

6. Handle urgency and weather honestly

A reported leak may need an assessment or appropriate intervention separate from the proposed reroofing. Do not conclude remotely that the roof structure is sound or that a few tiles will suffice. Refer technical findings to competent people and organise follow-up according to the situation. A commercial quotation is not an automatic diagnosis of every concealed element.

For timing, state the real dependencies: access, supplies, team availability, coordination and suitable working conditions. Do not create a false shortage, a false countdown or a price promise that does not genuinely expire. If offer validity or a supplier condition is approaching its limit, explain what needs to be checked again and when, without artificial pressure.

7. Move from agreement to scheduling without losing the version

When the customer wants to proceed, identify the exact version, selected options and remaining points to resolve. Check contractual formalities, customer rights, payment arrangements and any permissions specific to the country and project. No general rule about deposits or starting immediately can be inferred from a commercial example from another country.

Then create a preparation record: project owner, materials to confirm, access, planned resources, other contractors, documents awaited and next contact date. Distinguish a proposed slot from a confirmed date. Tell the customer when a condition changes. A successful follow-up ends with an action both parties understand, not merely a green status in a spreadsheet.

8. Measure results without inflating the figures

Track a consistent group of quotes sent during a defined period, separating revisions of the same project from new enquiries. Fictional example: 20 projects, 6 accepted, 5 declined and 9 still open. The acceptance rate for the whole group is 6 ÷ 20 = 30%. Among known decisions alone it is 6 ÷ 11, or approximately 54.5%. These measures answer different questions: always state the denominator.

Add response time, reasons given for declining and the number of files without a next action. Do not turn no response into a definite refusal. Compare similar projects while considering how far each has progressed. These numbers are a tracking exercise, not a conversion promise for roofers. A small sample cannot establish that one message wording is better than every other.

9. Prepare documents with Vocalys

After the conversation, dictate changes separately: affected item, quantity, chosen option, option rejected and point still to check. Prepare the quote with Vocalys, then check the version, amounts, applicable taxes and conditions before sharing it. The follow-up message should refer to the correct document. Keep the customer’s response and the agreed next action in the project record.

United States — Adapt the commercial relationship

The method concerns following up a roofing quote requested by a customer. It sets no legal response deadline, cancellation right, deposit, building permission or local marketing rule. Check the requirements of the country and customer type before committing.

Business Queensland's timing guideline is Australian commercial advice. We use the idea of organised follow-up; Australian contract and tax rules are not transferred to other jurisdictions.

Fictional example: 6 acceptances / 20 projects = 30%; 6 acceptances / 11 decisions received ≈ 54.5%. Always state which group is measured.

Silence does not confirm the job. Keep explicit decisions and the relevant version in accordance with applicable rules. · Business Queensland — Preparing a business quote

A useful follow-up provides an answer, clarifies a choice or establishes a step. Good tracking depends on an accurate file and respect for the customer, not the number of messages sent.

FAQ

When should I follow up a roofing quote?

On the date agreed with the customer or according to the actual needs of the project. The quoted seven-to-fourteen-day guideline is commercial advice, not an obligation or automatic schedule.

What should the message say?

Refer to the quote and offer to resolve a specific question: scope, material, access or timing. Finish with a simple next step.

Should I offer a price reduction?

Start by understanding the comparison and checking the scope. Any option or discount must remain compatible with your costs, technical requirements and applicable obligations.

How many follow-ups should I send?

There is no universal number. Agree the follow-up, space contacts according to the project and stop if the customer asks or confirms choosing another business.

How should open quotes be tracked?

For each project, record the version, pending question, person responsible and next action. Separate enquiries without a decision from refusals and acceptances.
