Understand the purpose of the reminder
The IP PIN is a six-digit code intended to stop another person filing an individual federal return using your Social Security number or ITIN. The IRS reminder also warns against sharing online-account sign-in details. A contractor’s quotation software, customer invoice reference and tax-account credentials are separate things.
Start with a simple inventory: who prepares the return, which official account you use, and what step remains unresolved. Keep that inventory free of passwords and PINs. It can say “owner to verify access” without exposing the information that would let someone else impersonate the owner.
Check access through the official IRS route
The IRS provides an online application route after identity verification and alternative routes for people who cannot use it. Consult the current instructions for the alternative that fits your circumstances. Do not send identity documents to an address found in an unexpected message merely because its branding resembles the IRS.
A practical office arrangement is for the account owner to handle identity verification, while the bookkeeper gathers business records through an agreed secure channel. Confirm a contact request using details already known to you. The urgency of a job, a payment dispute or a filing deadline should not change that division of responsibility.
Distinguish enrolment from the PIN for the filing year
An IP PIN is valid for a calendar year and the IRS generates a new one each year. Online users generally retrieve it through their account. Check which year’s PIN the filing software requires and use the current instructions; a code recorded now should not be assumed to remain the right code for a return filed next year.
Set a private reminder to verify the current PIN when preparing to file. The reminder should contain the task, not the code. If the preparer changes, confirm the new relationship and transfer method separately. A recycled spreadsheet containing old access information is a poor substitute for a current, deliberate check.
Keep project documents separate from personal tax security
For example, a fictional sole-trader carpenter sends estimates, invoices and payment reminders to several customers each week. None of those documents needs the owner’s IP PIN. Keep job records useful for bookkeeping while storing authentication information in the appropriate secure system.
When preparing a package for the tax professional, label the business records by period and document type. Send only what is needed through the agreed channel. If someone asks you to add a PIN or password to every invoice, pause and clarify the purpose with the known preparer. That request does not follow from this IRS reminder.
Plan around a maintenance window without inventing a deadline
The announcement describes annual online maintenance beginning in mid-November and general availability again in mid-January. It does not give this article an exact hour for the service to close. Check current IRS availability before an action, especially if you need an alternative verification route.
Use the coming weeks to resolve access questions and collect missing records. Then, when the relevant filing season opens, verify the current-year code and return requirements. Preparing early reduces avoidable administrative uncertainty; it does not guarantee a refund amount, acceptance date or protection against every type of fraud.
Make secure record keeping part of the ordinary workflow
Give each quotation, invoice and credit note a clear reference so the records can be reviewed without exposing personal credentials. Record who owns the next task when information is missing. This is particularly useful when site work and office work happen on the same phone: a customer message should not become a place to store a tax-access code.

FAQ
Is the IP PIN a business identification number?
No. It is used for individual federal tax-return identity protection.
Can I put it on a quotation or invoice?
No. Customer documents do not need this private authentication information.
Will the same PIN be valid next calendar year?
Do not assume that. The IRS generates a new PIN each year; verify the correct one before filing.
Is mid-November a new tax-return deadline?
No. The reminder refers to an annual online maintenance period, not a new filing deadline.
What if online identity verification does not work?
Use the alternative routes described by the IRS and allow for their processing steps.
